Payroll Manager

Location - Remote/Hybrid - 10%-25% Onsite in Huntsville, AL Office

Primary Duties/Responsibilities

  • Balancing of all payrolls to ensure accuracy prior to submitting.

  • Setups for New Plant/Dept/Location combinations, assigning Locations to Timekeeper Access, Holiday setups in Vantage Time based on company guidelines.

  • Assist with plant uploads (employee hours) Vantage Time.

  • Research and work closely with ADP to resolve system issues.

  • Prepare and provide reports for internal and external audits. Provide documentation upon request.

  • Scheduling and running AIS reports for Oracle Team.

  • Approve and release W2's once reviewed.

  • Management of staff - 6 FT Personnel.

  • Initiating & overseeing new projects with appropriate teams within Sanmina/ADP when requested.

Secondary Duties/as backup to Payroll Lead:

  • Schedule and process bi-weekly/off-cycle payrolls for multiple US legal entities.

  • Perform preliminary validation prior to submitting

  • Utilize ADP to process payroll and work with ADP to resolve any issues.

  • Manage ADP Smart Compliance; upload garnishments, levies, child support, tax documents, etc.

  • Ensure tax compliance for federal, state, local taxes, including setting up new payroll tax accounts with appropriate governmental departments.

  • Prepare and process amendments as needed.

  • Assist Employees with MyADP password resets.

  • Assist with plant uploads (employee hours) via spreadsheets to Vantage.

  • Retrieve & Import employee data files from Oracle and troubleshoot errors and resolve them.

  • Processing stock transaction data for W2 purposes.

  • Respond to complex questions from employees and management regarding payroll matters.

  • Provide guidance to other payroll personnel and assist with training.

  • Work closely with Human Resources and Timekeepers to ensure accurate employee data.

  • Work closely with GL Accountants to determine and resolve reconciling items.

  • Process adjustments when required such as over and short pays and changes with pay deductions.

  • Research and issue W2c's when required.

  • Create, run, and reconcile ADP reports on a bi-weekly basis for various departments, prepare other ad-hoc reports as requested

  • Responsible for year-end processes which include, but are not limited to: Preparing spreadsheets for payroll uploads such as gift cards, adjustments, and medical contributions. Schedule and process accrual resets, and review W2s for accuracy.

  • Research all state and federal laws to ensure compliance and implement any required changes as needed.

  • Maintain confidentiality of all employee and company data.

  • Assist with review of Payroll procedures and work instructions.

  • Apply all policies and procedures consistently during payroll processing.

  • Assist with system validations and/or testing when system modifications/upgrades occur.

  • Notify the Payroll Manager when issues need to be escalated that remain unresolved.

  • Other duties as assigned.

Required Skills/Abilities:

  • Extensive knowledge of the payroll function including preparation, balancing, internal controls, payroll taxes, and employee benefits.

  • Ability to work in a fast-paced environment. Utilizing strong organizational skills in order to prioritize multiple tasks to meet all deadlines.

  • Excellent written and verbal communication skills as job will require communications with all levels of the employee base.

  • Strong analytical and problem-solving skills with a high level of attention to detail and accuracy.

  • Strong leadership skills.

  • Advanced level skills with Excel and other Microsoft Suite related software.

  • Proficient with payroll software.

Experience:

  • Bachelor's degree in Accounting, Business Administration, Human Resources or related field a plus, but not required.

  • 5+ years of US multi-state payroll experience.

  • Experience with ADP required, ADP Vantage experience a plus.

Remote Work: The position allows working from home outside the Huntsville, AL office.

In-Person Requirement: Employees may be required to be physically present in the Huntsville, AL office for team meetings, training, and project-related tasks.

Onsite Expectation: During onboarding/training, 25% onsite presence is expected, followed by 10% thereafter.
